Purpose:
The Executive Assistants main role is to assist in the day to day tasks of the President & Vice President of a mid-size Oil & Gas Engineering Firm, while providing technical administrative support and assisting them with any tasks that are requested. Supervise and/or manage teams of 3 or 4 people. This position handles highly confidential material and therefore requires an individual who can deal with this in the utmost professional manner.
Knowledge, Skills & Abilities:
« Minimum five years Executive Administration experience
« Bachelors degree or Business diploma required
« Oil and gas industry experience would be an asset
« Experience supervising small teams/groups
« Ability to work in a high activity/pace environment while prioritizing and managing associated stress, high energy and detail orientated
« Excellent written and verbal communication skills to effectively communicate with various departments and levels. As well as excellent proofreading and writing skills to produce high quality documents.
« Ability to handle ambiguity, juggle many tasks at once and quickly shift from one task or situation to another
« Must be analytical, strategic, mature and thoughtful
« Must have an affinity for nurturing business relationships
« Ability to handle sensitive information professionally
« Willingness to demonstrate initiative
« High level of accuracy and excellent attention to detail is required
« Above average computer skills and compatible troubleshooting skills: expert with Word, Excel, Power Point, Outlook and Lotus Notes; and Adobe
« Strong organizational and communication skills
« Self- starter capable of working independently with minimal supervision
« Team player who enjoys learning and contributing to team goals proven skills in organization, communication and leadership
Main Responsibilities & Activities:
« Serve as principle point of support for the President & Vice President
« Provide administrative support in wide range of duties (mail, organizing and responding to email correspondence, etc.)
« Establish and maintain an organized area and filing system
« Coordinate and manage calendars, travel, meetings, agendas and phone calls
« Prepare and/or contribute to the preparation of reports, briefings and presentations as assigned
« Have materials prepared for regular meetings
